The Administrative Specialist will contribute to and support Starcon’s estimating and marketing/business development efforts. The successful candidate will support technical and managerial staff in drafting and editing and effective marketing collateral, proposals and other written communications. Main duties include downloading and printing documents, reviewing extensive instructions and outlining requirements, collecting information from multiple departments,significant editing and formatting and assembling materials according to client’s requirements. The successful candidate will be able to work with minimum supervision, both independently and within a team. The ideal candidate is enthusiastic, resourceful, deadline driven and committed to producing quality work.

Job Description:

POSITIONRESPONSIBILITIES

  • Prepare and assist with submittals (i.e. prequalifications, proposals, etc.) including downloading, printing and reviewing client documents. Develop responsibility matrix outlining the submittal requirements as well as the individuals responsible for each item/question.
  • Organize the overall layout in accordance with client requirements and company standards.
  • Review narratives produced by others to ensure compliance with the requirements and apply edits to improve the overall quality and effectiveness of our response.
  • Draft narratives using standard pre-written content.
  • Perform final formatting in alignment with branding guidelines.
  • Communicate with subcontractors and prospective and current clients by phone and email
  • Coordinate bid review meetings, etc.
  • Maintain and distribute submittal log
  • Other duties as assigned

QUALIFICATIONS

  • At least 3 years of experience working in a fast-paced office environment.
  • This position demands excellent writing and editing skills as well as a proficiency in the organization and presentation of data.
  • Meticulous attention to detail, with an ability to be productive without compromising quality.
  • Ability to multi-task and adapt quickly to fast paced environments, as well as prioritize and manage various tasks and several competing deadlines.
  • Must possess and demonstrate excellent communication skills with a professional demeanor and a collaborative attitude.
  • Self-motivated, team-oriented and able to work well with a wide spectrum of professionals including senior management and external clients
  • Flexibility to work adjusted hours to accommodate client deadlines
  • Client-oriented personality with a knack for creative problem-solving and a "whatever it takes" attitude towards getting the job done
  • Proficiency in Adobe Acrobat and Microsoft Office Suite including Word, Excel, and PowerPoint
