We are currently looking for a local Timekeeper/Office Manager to work projects in the South Chicagoland/Indiana area.


Job Description:

Work Environment:

The normal work environment will be in an industrial facility where exposure to outdoor weather conditions is possible and where proper PPE is required for a variety of potential hazards.

Roles & Responsibilities:

The roles and responsibilities of a Job Site Office Manager may include, but are not limited to, the following items:

  • Assign phases necessary to accurately and timely capture cost in CMiC.
  • Ensure phase structure will meet the owner billing requirements.
  • Administrative Process Lead for the following:
    • Purchasing (SOP ACC-008)
    • ComData (SOP ACC-002)
    • Accounts Payable (SOP ACC-006)
    • Billing (SOP ACC-008)
    • Payroll (SOP ACC-001)
  • Ensure cost control and accounting policies and procedures are being adhered to.
  • Report internal control and compliance exceptions to Supervisor, Site Operations leader, and Regional Cost Control Manager.
  • Produce daily, weekly, and monthly cost reports for STARCON Management to track the costs of the project and change orders.
  • Provide all inclusive job-to-date cost reports (both STARCON cost and client billing) that include labor, equipment, purchase orders and any other charges.
  • Perform data entry.
  • Understand and interpret contract and subcontract documentation related to cost control
  • Prioritize and coordinate all jobsite office administration tasks to supervise timekeepers and clerks on project efficiently.
  • Archive project files regarding payroll, invoicing, cost controls, purchase orders, contracts, subcontracts and other project closeout documentation as required.
  • Coordinate and process the paperwork associated with the hiring and release of team members.
  • Follow up on outstanding receivables.

Qualification Guidelines:

  • Experience:

ooWorking knowledge of STARCON (CMiC)/client (SAP, TRACK) software preferred.

oAssociates Degree in a business or accounting concentration preferred.

oMust have valid driver’s license.

oBasic knowledge of Cost Control and Reporting

oProficient in Time Entry System and Time tracking

oAbility to interpret and understand contracts

oAbility to set-up jobs in STARCON computer systems

oClear written and verbal communication skills

oOrganizational skills and attention to detail

  • Safety/Environmental:

oMust be able to pass applicable site-specific training.

oKnowledge of refinery and chemical plant hazards which may require special precautions and PPE, such as Sulfuric, H2S, and HF.

oMust complete the appropriate safety/environmental training required with the position and location.
